UCI faculty and lecturers who are interested in allowing extra credit to be earned in their classes via research participation should follow the steps below to obtain an Instructor Account and to have your course(s) added to Sona.

 

WHAT MUST BE STATED IN YOUR COURSE SYLLABUS:

Make sure that your course syllabus includes the following information:

  1. Your Name
  2. Your Contact Information
  3. Course Number and Title (e.g., PSYCH 7A/PSY BEH 9, Intro to Psychology)
  4. A section on Extra Credit Participation which includes:
    • Informing students that research participation is voluntary, and that there is/are alternative options to accrue the same amount of credit;
    • The alternative option(s) which must be of equal or less time/difficulty;
    • A clear statement of the conversion factor, so that it's clear how their hours of research participation will be converted to credits in class;
    • A link to our Student Participant page which explains to students how to sign up as a research participant.
    • Remind your students HOW your class is listed in Sona [e.g., F18_PSYCH 7A (Intro to Psych)_InstructorName], so they select the correct course(s); and
    • Remind them that it is their responsibility to check their credit assignments BEFORE the stated deadline on our website, as accounts will be disabled at the end of the quarter which means no changes, extensions, or access will be granted at that time.  

 

WHAT TO SUBMIT TO GET YOUR COURSE ADDED TO SONA:

At the start of the academic quarter, send a copy of your course syllabus via email to the HS Lab Pool at: ssreslab@uci.edu
If you do not have an Instructor Account, one will be created for you. You will receive a confirmation email from Sona with your username (i.e., your UCINetID) and a temporary password.

 

HOW TO ACCESS YOUR ACCOUNT:

Once you receive your confirmation email from Sona, do the following:

  1. Go to our Sona homepage at: https://uci.sona-systems.com/
  2. Log in using your User ID and temporary password
  3. Click on the "My Profile" section to change your temporary password.
  • In this section, you can also add an alternate email address if you want all correspondence from Sona to be sent to another account.

 

WHAT TO DO IF YOU CAN'T ACCESS YOUR ACCOUNT:

If you forgot your password and cannot log in to your account, try these steps first:

  1. Enter in your User ID on our Sona homepage at: https://uci.sona-systems.com/
  2. A System Message will appear that says: "System Message: Login failed. Did you forget your password?"
  3. Click on the "Did you forget your password?" link
  4. Enter in your User ID and click on the "Email Password" button. A new password will be sent to your UCI email account, so you can log in.

If you are still unable to access your account by following the above steps, please send an email to the HS Lab Pool staff at: ssreslab@uci.edu

 

HOW TO RUN YOUR END-OF-QUARTER REPORT:

Your end-of-quarter report should be run AFTER the deadline for students to assign/re-assign their points. This will ensure that you have the most accurate data for your enrolled students. The last day for students to participate in research studies is the Friday of Week 10. The deadline for students to assign their credits is by 12pm on the first day of Finals Week.

To run your report, do the following:

  1. Go to our Sona homepage at: https://uci.sona-systems.com/
  2. Log in using your User ID and password
  3. Under "Course Reports", select "generate course credit reports"
  4. Select the "All Participants (Students)" button.*
  5. Scroll down to the bottom of the screen and select "Download this Report in CSV Format".


*NOTE: There are 3 options available when running your report:

  • "All Participants (Students)" will include all students who selected your course and who may or may not have earned extra credit via research participation;
  • "Only Completed Participants (Students)" will only list those students who have met or exceeded the credit requirement for your course.
  • "Only Incomplete Participants (Students)" will only list those students who did not meet the credit requirement for your course. 

Make sure to select "ALL PARTICIPANTS (STUDENTS)" to ensure that you have the most accurate listing for your course.
